You've decided that a system of computerized construction project records and/or electronic archiving is a good idea, and you want to eventually adopt such a system, but not just yet. However, you wonder if steps can be taken now that will make that eventual transition easier and more cost-effective. We will discuss reorganizing existing computer files to make them more easily incorporated into computerized data management regimens, organizing and managing paper project records to facilitate future electronic data solutions, and preparing company personnel for eventual participation in computerized construction project records and/or electronic archiving. Among the topics of discussion will be getting comfortable with scanning current paper records into computers as a "stage setter" for migrating to computerized construction project records and/or electronic archiving, modifying your use of the Windows File Manager system to accommodate the requirements of future computerized data systems, and linking scanned documents within the Windows File Manager system to facilitate the retrieval of related information files. We will also consider the ways of overcoming the natural apprehension that many construction industry personnel have regarding computerized solutions to hard copy (or, sometimes, no copy) habits, especially exchanging current verbal problem solution methods for better documented methods that are better accepted in legal processes. |

Description: When a construction project has been completed, it is a common practice to box up all of the paper files that were generated during the course of the project and tuck them away in a back room or in some other storage facility, "just in case". Because the packing and stowage are usually pointed toward quickly ending an onerous task and freeing up file space, putting a completed project to bed is rarely and organize and logical process. So, whenever "just in case" arrives, the usual result is that all of these files are so jumbled together and incompletely correlated that addressing whatever the need "just in case" turned out to be becomes a major chore. And, usually, the file needed has been leaked on or chewed on while in storage, anyway, if it was even there. The answer to this sad scenario is an organized and complete electronic archiving of the project, including both paper records and electronic records (such as pertinate emails). Learn about the various options for electronically archiving the records for a project, whether thru "in-house" means, or, by using an outside archiving agent. We will discuss how a good archiving program will result in an organized and easily searchable record of the project that includes the ability to easily retrieve paper documents from storage, or, even, dispense with retaining paper document archives entirely. Various sorts of electronic media storage systems will be considered, and ways of securely backing up electronic archives will be discussed. We will also explore the manner in which smart electronic archiving can make the lessons of past projects easily available for use in preparing for new projects and in actually executing subsequent work.

Description:
Most Contract Documents require that a particular set of construction project records be generated, maintained, and retained. In addition to these required records, having an even more comprehensive collection of construction project records can be truly desirable. However, initiating, maintaining, and saving all of these records can be an exacting and time consuming process. Accessing particular records quickly and easily when needed, even when they have been conscientiously generated, may involve a scavenger hunt of sorts thru file cabinets, desks, job trucks, copy rooms, and other places. Project closeout can be a laborious process of locating, collating and archiving paper records. All of these, and many other difficulties in generating, maintaining and preserving construction project records, can be dramatically mitigated thru the use of a computerized construction project record system. We will discuss various methodologies for systematizing computerized construction project records, both with in-house personnel and with "hired gun" entities; and we will discuss the ways in which computerizing construction project records on a day-to-day basis can be a cost effective and profit enhancing activity. Learn ways to optimize the use of digital records in your own unique operational environment, even if your enterprise has only minimal computer capabilities and expertise available.
